Sound familiar?
Filler, cannulas, numbing cream, room hire, insurance… and a pile you'll deal with “later”.
SumUp and Square pay you less than the client paid. What's your turnover, and where did the fee go?
Training courses, a new couch, your phone bill, the drive to a home visit. The rules aren't obvious.
Busy practitioners can cross the £90,000 VAT threshold without noticing, and most treatments aren't VAT-exempt.
How it works
No spreadsheets, no shoebox of receipts, no accounting words. Balancio reads the receipt for you and only asks when it needs to.
Photograph a receipt from your supplier, on your phone or by scanning a QR code from your laptop.
Balancio fills in every detail and tells you if it's usually tax-claimable. If it isn't sure, it asks.
Tap confirm. It's saved with the receipt attached, ready for your tax return.

What it does
Snap a supplier receipt and Balancio files it under treatment products and tells you it's usually claimable.
Record what the client paid and the fee SumUp or Square took. The fee is saved as a claimable expense, just as HMRC expects.
A plain-English reason for every expense. When it depends, like a course for a brand-new skill, Balancio asks.
See how close your last 12 months of takings are to £90,000, with a warning well before you get there.
Each month, how your clinic did in plain English: money in, money out, profit, and anything worth checking.
Tidy records for England's coming licensing scheme, and everything you need for your tax return in one download, with every receipt attached.

Travel
Balancio started with doing the books for an aesthetics practitioner, and seeing how much time the paperwork took away from clients.
So we built the tool we wished existed: fast enough to use between appointments, and clear enough that you always know where you stand.

Many practitioners keep their own records with Balancio and only bring in an accountant when they need one. Balancio is software, not a firm of accountants, so for advice about your own situation speak to a qualified accountant. On Premium, a qualified accountant checks your year-end tax return once you've been with us for 12 months.
Clinic and booking software handles appointments, consent forms and client notes. Balancio handles the money side: your costs, your takings, what's claimable and your tax-year records. They work well side by side.
Take a photo of the receipt and Balancio reads the date, supplier, amount and what you bought, then suggests a category and whether it's usually tax-claimable. You check it and tap confirm. The photo is kept with the entry, so you don't need the paper copy.
Most cosmetic treatments aren't VAT-exempt, so once your taxable turnover goes over £90,000 in any 12 months you usually need to register. Balancio's tracker shows how close you are. It's a guide, not tax advice, so check with HMRC or an accountant about your own situation.
Usually, courses that update or improve skills you already use in your business are claimable, while courses for a brand-new skill or a new line of business usually aren't. Balancio asks you which it is rather than guessing.
Yes. If you're self-employed for your aesthetics work, Balancio keeps those business records separate and ready for your Self Assessment.
No. Balancio works in your web browser on a laptop or phone. On your phone you can add it to your home screen so it opens like an app. On a laptop, scan a QR code with your phone to snap receipts straight into your account.
Your data is encrypted and stored in the UK, in London. Each account is completely separate, so only you can see your numbers.
Starter and Pro are free for your first month. Cancel before it ends and you won't pay anything. After that, cancel whenever you like: you won't be charged again and you keep your features until the end of the period you've paid for. Premium is £79 a month and you can cancel any time too, but its year-end accountant check is only included once you've had Premium for 12 months in a row. Or pay £790 upfront for the year and it's included at the end of that year.
